If you select 'Notifications OFF by default', your users won't receive email notifications on system and user generated alerts, such as Meeting Booking requests, Session Starting alerts, Activity feed likes and tags and more. Delegates can always choose to change their default setting by enabling email notifications from within their App, so the everyone has control of their own experience. Thanks to your feedback, we’ve added some enhancement to these features. On VOD, you are now able to re-order your videos in your VOD module’s list. This is a small feature but it brings a big impact! You can reorder your videos to respond to your delegate’s demands, such as arranging your most viewed and liked videos to the top of the page. Our Meeting Booking feature now enables delegates to amend their existing meetings. This month we bring you integration with Aventri. If you have or are planning on using Aventri as your event registration platform, you no longer need to manually import your delegate and session lists to our platform, our API will do it for you. Simply fill in a couple of fields and your delegate and session lists from Aventri will be synced automatically to your event’s dashboard. With the manual import eliminated, you can concentrate on delivering a great event. # August Release: Business Cards, Alerts Notification Re-design et. al. #### Easily exchange details with our Virtual Business Cards and enjoy greater flexibility over the delivery of in-app alerts. With the arrival of August, we are excited to be sharing our latest feature release, which will enable event attendees to quickly and easily swap contact information within the platform. We've also improved in-app alert design and functionality, allowing event organisers to tailor notifications more specifically to their audience. Lastly, we've carried out some housekeeping in our Dashboard to make our features even more accessible. #### #### Share contact details with Virtual Business Cards [![image-1659705441286.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-08/scaled-1680-/image-1659705441286.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-08/image-1659705441286.png) Improve delegate engagement with customisable business cards that can be left virtually anywhere around the event app. Cards can be scanned or swapped with other delegates, or left behind at exhibitor stands. Attendees, sponsors and exhibitors can build up a list of contacts to download and take away from the event. Delegates will be able to design their own card and customise what information appears on it within the parameters set by the event organisers. The event organisers have ultimate control of the design offered to attendees and what information should appear on their business cards, all of which can be set up in our Dashboard. #### Alerts and Notification Re-Design [![image-1659705492900.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-08/scaled-1680-/image-1659705492900.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-08/image-1659705492900.png) Custom alerts and notifications will soon be a lot more flexible. There will be a choice of three different types of in-app alerts, all with native push notification support so delegates will never miss another message. Large pop-ups with or without embedded surveys, flash notifications and a persistent notification with a call-to-action will give maximum control. This re-design includes the ability to embed surveys from the survey library into the large pop-up alert notification. This will enable event surveys to be collected more swiftly and effectively. To avoid bombarding delegates with the 'in-your-face' type alert, the more subtle flash notifications can be used, which will appear on the top right-hand corner of the event app screen for five seconds. Alternatively, the persistent notification can be used, which is a similar design but continues to be displayed until the user dismisses it or perform the call-to-action. #### Dashboard Housekeeping [![image-1659705533112.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-08/scaled-1680-/image-1659705533112.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-08/image-1659705533112.png) To improve navigation and user experience, we have tidied up the Dashboard and renamed the tabs. We have renamed the 'Add-Ons' tab to 'Features' and moved features such as Meetings and Badges & Passes to this tab. In addition, the Business Cards feature can also be found in this tab. # November Release: New Meeting Booking, Redesigned & Improved Video Breakouts and et. al. In this release, we're bringing enhancements and updates to some of your favourite features. We've freshened up Meeting Booking with exciting feature additions and given Video Breakouts a makeover. We've also launched brand new templates on the Page Builder module, and introduced tagging into the Activity Feed and Session Chat. Excited to know more? Your delegates can now arrange large group meetings with up to 50 people in one call, thanks to the improved and redesigned Video Breakouts feature (keep reading for more on this). Additionally, with a switch of a toggle in the Dashboard, virtual meetings can be quickly organised and held in a Smart Sessions room. #### #### Meeting Booking Additional Features We're pleased to announce that you can now limit the Meeting Booking feature to only a small number of delegates, exhibitors or sponsors. We have utilised our existing component, the people's group, and made it adaptable to Meeting Booking. We've added the People's Group field to Meeting Booking, allowing you to limit the usage of the feature to a specific group, such as exhibitors only or delegates only. We have also added options on the Dashboard for you to indicate where your delegates can host their meetings. If you're running a virtual event, you can select the virtual-only option, enabling your delegates to conduct their meetings on our one-to-one Video Breakout feature or a Smart Sessions room. Alternatively, if you're running an in-person event, you can select the physical-only option, and your delegates can choose one of the pre-set physical venues when arranging their meetings. If your event is hybrid, you can select both options, allowing your delegates to have the freedom to choose where they would like their meeting to be. The final feature we have added for Meeting Booking is the Subject field. It will enable your delegates to summarise the reason for a meeting in 128 characters and will appear for the meeting recipient to see when they receive their invitation. #### New Redesigned (and Improved) Video Breakouts [![image-1669124701774.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-11/scaled-1680-/image-1669124701774.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2022-11/image-1669124701774.png) This feature is probably the most exciting this month (and another favourite of ours). The new Video Breakouts feature has had a makeover and has benefitted from improved functionality. The latest version will handle up to fifty users in one session, allowing you to host large meetings easily. Once a person has been tagged, they will get notified via the new flash in-app notification feature and via an email, prompting them to check out their mention. On top of this, we have released many other new in-app flash notifications. The background strip will take on the default app colour and while the Booth image remains empty nothing will display in the top right corner. Essentially, no existing pages should require a lot of extra work to make them look 'finished', but we would advise checking each page and enhancing the look and feel where you can. Alternatively, the CrowdComms design team have several booth templates that we can apply branding to, for those companies interested in this layout. Again, please talk to your account manager or simply get in touch with one of our friendly team to discuss the options. For companies who have a jpeg image of their stand on location at an event, we would recommend using the banner strip to house this image instead of using a rectangular image in the top right-hand corner on top of the background. With sign-on, users only have to enter one set of credentials to access event apps via desktops, smartphones and tablets. This greatly increases productivity while keeping data secure. You choose your provider, add the authentication information into the CrowdComms Dashboard and we'll do the rest! There will be more to come over the next few months, but as a start, you'll now have a profile section in the top right of the screen you'll be able to use to change your password and log out. So, in order to future-proof this section we've removed the buttons to add a livestream from the top right hand corner of session pages and replaced them with an 'Embed' tab. Embedding a Livestream now a slightly simpler process. Rather than going through a series of pop-up windows to select what you need, you'll now be able to choose existing Livestreams from a drop down list or create a new stream using the plus button. Once selected, just click the link icon and save the page to embed your stream. More to come on this front in the future. # June Roundup: Security Upgrades ##### **Two-factor Authentication. This is a great way to make sure user accounts cannot be compromised and gives you peace of mind that everything within the app is a safe as it could be. Wondering what 2-factor authentication actually is? here's a definition: **Two**-**Factor Authentication** (**2FA**) **works** by adding an additional layer of security to your online accounts. It requires an additional login credential – beyond just the username and password – to gain account access, and getting that second credential requires access to something that belongs to you. **We've got a few different options that you can use on your events so here's a breakdown:** [![image-1638455103563.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/scaled-1680-/image-1638455103563.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/image-1638455103563.png) In the settings section of the Dashboard, within security you'll see a new section titled Multi-Factor Authentication. From here you'll have 4 options **Continue without 2-Factor Authentication** One of your options will be to continue without 2-Factor Authentication enabled on your event. This is the least secure setting so won't be the default but we recognise that sometimes you won't want to interrupt the log in flow with an extra step. ##### **Password Only** [![image-1638455140401.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/scaled-1680-/image-1638455140401.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/image-1638455140401.png) All events will obviously keep the username and password login steps. 'Optional 2FA' will mean that your event will ask your attendees to login into with their username and Password as usual, however, all users of the event app will be given the option to use 2-factor Authentication if they would like to. This can be dismissed in a couple of different ways. 'Ask me later' will allow users to continue to the app and ask them again next time they log in. Clicking 'Don't ask me again' means that user will not see the prompt on this browser again unless they clear their storage. ##### **Email Verification** [![image-1638455171979.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/scaled-1680-/image-1638455171979.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/image-1638455171979.png) The 'Email Verification' option enforces a second factor on login for all app users. As a minimum, everyone logging in will need to retrieve a six digit code from their registered email address. This is a great way to ensure your event is secure without the need for a second device to be present. This setting is a great compromise between security and UX as it's solid way to protect your account but has a little less friction than having to use a second device. As with the 'Optional 2FA' setting, users can choose to set up a second device if they wish to. By clikcing on 'Set up a Device' they will be able to scan a QR code or enter a pin into their third party authenticator app and log in with the peace of mind that their account is as secure as it possibly could be. ##### **Authenticator App** [![image-1638455204273.png](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/scaled-1680-/image-1638455204273.png)](https://crowdcomms-docs-media.s3.amazonaws.com/uploads/images/gallery/2021-12/image-1638455204273.png) Full, belt and braces 2-Factor Authentication will require all users to connect a second device to their account. It's a simple process which involves installing an authenticator app to their device and either scanning the QR code on screen or inputting the 16 digit code (sometimes referred to as a key). The authenticator app will respond to our code with its own 6 digit code, which users will input into the site before being allowed into the event app. Once you've connected a device you'll be asked if you would like to remember the code for 30 days. This option will reduce the login time whilst keeping the high level of security in place. We support all standard authenticator app but here's a few of the most common ones: - Authy - Microsoft Authenticator - Google Authenticator - LastPass - OTP # August Roundup: Multiple improvements ##### **Your bumper-pack roundup of all the new features being released this August ** We've got so much tell you about this month that we'll keep the intro short so we can try and keep this email down to a reasonable length! All these features will be in our upcoming release on August 5th 2021. This will allow you to choose a device optimised experience for both mobile web, tablet and native apps. With this new option, you'll be able to select up to 4 of the most important items to display along the bottom of the screen when viewing on any device smaller than a tablet in portrait mode (less than 768 pixels for those who care!). All other menu items will automatically be added to an 'overflow' menu represented by three dots, which users can tap to bring up all the other menu items. Regardless of this new setting, the desktop experience will always retain the left-hand menu. You can still choose to keep this style of navigation for mobile and tablet visitors if you prefer that experience. You may already know that this already collapses down to a 'hamburger' icon on smaller screens so whichever option you choose, there is no compromise on experience. As with everything we build at CrowdComms, flexibility is at its core. You can choose whether to display labels or not, reorder the menu by dragging and dropping, quickly change the menu around, display certain menu items to specific audiences and much more. In our new Menus & Navigation setting we've added a toggle so you can choose whether you'd prefer the left hand menu to be collapsed *\[icons only and tools tips on hover\]* or open *\[icons and labels\]* when a user first opens the page. This is a premium feature, so you'll need to talk to your account manager if you'd like attendees to be able to upload videos. Turning this feature on will enable list and calendar tabs on the agenda screen for users to toggle between the two views. Sessions can be added to personal schedules from either view, and you have the choice in the dashboard which you would rather have as the default for users as they land on the agenda. Of course, this feature works on any screen size and is another option that can be added in seconds. The subtle differences in user requirements mean that sometimes your event app needs to be flexible enough to cater for several different scenarios. From here on, it's quite likely that you'll be presenting to a live audience whilst simultaneously live streaming to your remote delegates - but asking both of those viewers to interact in a similar way, on the same page. We need to take care not to impact either audience. With this in mind we've added to our Livestream page to allow each audience to hide or show the livestream video. We wanted the control to be in the users hands as, even while attending a live event, We can't be sure that the viewer won't need the livestream video feed, even if we're sure they're attending in-person. Popping out of a session to take an important message, Meeting a colleague, or having to leave early unexpectedly. There are many scenarios in which in-person attending will need the live stream feed. To stop audio interference with the session we’re auto-muted on mobile so in-person audiences can enjoy the same experience without the embarrassment of having the audio surprise them. This will allow you to use a digital version of your badge or print out attendee badges with the QR code to then be used at your event. With this new feature, you are not only able to print out the attendees' badges, but you can also design your own badge from within our dashboard. If you already have an existing registration platform that supplies the QR code, you can simply import it into our dashboard. Alternatively you can export the QR codes CrowdComms generates for each delegate to use in your registration platform. At the event, your attendees can access their badges on their profile page of the event app or you are able to add quick-access links from the main menu directly to the badge itself. As the organiser you'll be able to scan these codes using your registration app to validate your attendee's registration, check them into sessions or capture their information for lead generation. As a bonus, we've built in a scanner into each attendees app and an area for them to store badges that they've scanned themselves. Once that 6 months expires our systems automatically delete your app. Previously contacting you about this has been a manual process but we know this is not ideal, so we've automated some warnings so nothing gets removed without you knowing. We will be sending you the first notification via email 30 days prior and a reminder 14 days prior to deleting your app. If you're happy with it, you don't need to do anything, but if you want to extend the lifespan of your app, you can get in touch with your Account Manager to extend its duration. Appearance-wise, we’re making it look better than the old style of whitespaces in between feed comments. Better visual boundaries where you can see the shape of the comment input and better hover & focus styles where focus colour goes around the edge. # Release Management Process The scope of this process is to cover scenarios when new features or changes to existing features are being implemented onto the CrowdComms platform. ##### The process: - All new features follow a design & development process that includes stakeholder feedback on the concept and execution of the UX design, rigorous testing, peer review of code and security review before being planned for release. Progress is managed throughout by the product delivery manager. - During preparation for release, CrowdComms production staff will be trained to support our clients. All customer facing communications and internal training documents will be reviewed as part of the release testing. - The release committee will conduct an impact assessment of the proposed changes and highlight any areas of concern or gaps in documentation. - Once testing and documentation has been completed, the release committee will authorise the release. The new updates will be prepared for release, including scheduling release times to minimise any disruption. - When considering release date and time, the team review upcoming event schedules and expected usage patterns. ##### Client communication: Here at CrowdComms we are constantly striving to improve and enhance the platform in order to bring innovative functionality to organisers in order for you to deliver the best event experiences to your delegates. Our team of talented engineers not only maintain and deliver our huge product suite but also work on dozens of new features at a time so we can push our event technology, and your events to new levels of success. Previously when new features were fully tested and ready for deployment our team would consolidate all work into one large release, often with multiple feature improvements and new functionality bundled together. In a platform running dozens of live, global events each day this can seem like a convenient way to release new work, However, with that connivence comes an element of risk. Building software is incredibly complex with many moving parts and with this in mind we have taken the decision to move to a continuous integration model of releasing product updates. What this means is each individual piece of work is isolated into its own development branch, allowing us to release each feature as soon as it’s ready without bottlenecks and complicated dependencies. This release strategy minimises risk to platform stability and means if we uncover issues we can roll-back or hot-fix with greater efficiency. As a company we are still committed to informing customers of new features well ahead of their release. An email newsletter documenting features that affect the front end of your event app globally will always be sent out a minimum of two weeks prior to any release. The difference being that from now on these email newsletters will no longer contain a release date. With a large amount of events happening each day we need to be agile when selecting safe times and dates to push work into the live app. It will always be a priority to find the quietest time to launch so we can manage disruption to ongoing events. With this in mind we will commit to informing clients a minimum of 72 hours ahead of any release and where appropriate circulate a pre-production link so all customers can check their upcoming event apps, adjust custom development if necessary and seek any compliance sign off they require. By this time all staff will have been trained and we will always be happy to jump on calls to demonstrate, preview and support any imminent features. All you need to do is get in touch with your account manager and we will be happy to help in any way we can. This new strategy will allow us to continue our innovation of the product at pace. We hope you agree that the last few years have seen some exciting advances in our technology and with your support, we hope to be able to continue that indefinitely. To summarise: - An email detailing the new features expected to be released in the upcoming month will be sent to admins who have access to the CrowdComms dashboard (CMS). This is scheduled to be sent to all customers before the start of each month and will always be sent out no less than two weeks prior to the release. This will no longer contain specific date and time of the feature releases. - In addition a notification banner will be present on the admin CMS highlighting the upcoming changes. - You allocated account manager and / or support manager will contact you no less than 72 hours in advance of the release date informing you of the exact time the release has been scheduled for. ##### Considerations: - Please note, critical updates to ensure smooth operation of the CrowdComms platform will not always follow the above steps. - The above process is followed for any new feature additions or any planned ‘breaking change’ where the user experience on the platform would be modified in any meaningful way.
